The Documentation Specialist maximizes the quality, consistency, efficiency and effectiveness of templates used, information, and other documents generated by the department.
What you'll do
Completing customer forms/vendor forms/supplier forms which range from simple to complex and includes W8-BEN, ACH/EFT forms
Completing registration, customer surveys and questionnaires including information security questionnaires both in paper and in third party portals
Assist with business license verification, applications, and renewals
Enhance the quality of existing written materials (boilerplates, tables, flowcharts, graphics, etc.) by providing editing to address grammar, professionalism, consistency, clarity, impact and overall customer focus consistent with company and departmental guidelines.
Create new information to expand breadth and depth of databases and SharePoint sites. Proactively seek new data, images and other information from across the company (including proposals) and present such data in ways that enhance the company’s message.
Ensure that all assigned technical documentation is clear, concise, polished and organized and that it is stored where it can be located and easily retrieved by the appropriate users. Review and edit department-generated materials for quality assurance, seeking maximum effectiveness of the final product. Ensure that each department-generated document is customer-focused, clear, concise, compliant, consistent and in accordance with company and departmental guidelines.
Provide technical support for proposals, RFP responses, contracts, statements of work, and other sales-related and departmental documentation.
Collaborate with coworkers on projects assigned by supervisor, garnering input from stakeholders to define their needs and the needs of their target audiences with the goal of developing specific written materials for team and departmental use.
Engage in consultations on various aspects of documentation.
Deliver presentations and training sessions, as requested, on documents and procedures developed or refined.
What you'll need
Bachelor’s degree
2 years of experience developing and editing documents
Exceptional writing and verbal communication skills with the ability to effectively interact with all stakeholders
Excellent editing and presentation skills
Strong analytical skills with the ability to recognize and address technical and business issues
History of balancing competing priorities with the ability to adapt to the changing needs of the business while meeting deadlines
Strong organizational skills with critical attention to detail
Demonstrated ability to be diplomatic and professional in approaching business contacts
Advanced working knowledge of Microsoft Word and Excel
Ability to understand complex problems and to collaborate and explore alternative solutions
Ability to formulate complex and comprehensive materials such as legal documents, authoritative reports, official publications of major scope and impact, etc., and/or to make formal presentations
Ability and willingness to travel up to 10% or as needed to other CDW locations, meetings and client sites
Preferred Qualifications
Proposal writing and/or database management experience
Pay range: $ 50,000- $ 60, 000, depending on experience and skill set
